Donations Policy

November 2018

  1. The aim is that all three villages be treated equally over time.
  2. Maximum donation will be £750 per individual donation.
  3. Requests should be for an item, event or cause with a clear time scale, cost and benefit. All applications must be accompanied by a detailed quotation.
  4. Requests from political parties or commercial organisations are likely to be refused.
  5. The donation should have a definable benefit to the community or residents of the Three Villages.
  6. Awards will not normally cover  the whole of any  event or item, matching funding would be expected from the applicant. The Committee will consider whether any conditions should be attached to the donation.
  7. Applications must be either in writing on the official Donation Application Form, or by email to the Community Representative.
  8. Applications must be with the Residents’ Association (RA)  Secretary 10 days before the relevant Committee Meeting and itemised on the Agenda before consideration of the application.
  9. Retrospective applications will not be considered unless the Committee unanimously consider there are exceptional circumstances.
  10. The Committee have discretion to consider applications from organisations outside the Three Villages, if, in their opinion, they are of sufficient benefit to the communities. Any decision has to be unanimous.
  11. All donations will be made on the basis that the RA will receive appropriate feedback and publicity.
  12. The RA will hold cash reserves to a minimum of £12,000. No donation can be considered if it would cause reserves to fall below this level.
  13. The RA must always consider whether their members will feel their money has been well spent.
  14. Any donation funds not spent on the approved purpose must be returned to the RA forthwith.
  15. These rules will be advertised in The Resident magazine.

All donations will be recorded in the minutes, the Treasurer’s report and summarised for the AGM. This policy applies to any application for funding from any individual or organisation other than Byfleet Neighbourhood Forum, West Byfleet Neighbourhood Forum and Pyrford Neighbourhood Forum or their successor organisations.

Important:  The Committee will only consider your request if you have provided full answers to all questions on the Donation Application Form.  Any additional supporting information, e.g. quotations, must be provided with this completed form.

Welcome to the Byfleet, West Byfleet & Pyrford Residents’ Association Website

The Byfleet, West Byfleet & Pyrford Residents’ Association (the ‘RA’) is a local community group open to residents (homeowners and tenants) and businesses operating in the three villages. We attempt to represent the interests of everyone living in our area and/or contributing to the local economy. We strive to ensure that the three villages remain attractive, prosperous, environmentally sustainable, safe and socially welcoming places in which to live.

It was formed in 1928 and has been run by volunteers continuously since then – more than 90 years of dedicated service to the residents of our villages.

Current membership represents around 30% of all households (around 2,400 homes). We have a network of 150 volunteer street representatives who keep contact with our members, deliver our newsletter and collect subscriptions (where possible). These street representatives are the life blood of the RA. 

The types of issues that the RA had focussed on recently include planning, Green Belt protection and anti-social behaviour. The RA also supports local charities and has a donations policy. 

Looking forward the RA would like to expand its community involvement to include health, education, and leisure facilities for young people.   That is dependent on having volunteers with both an interest and a desire to become involved.
