As a community-focussed organisation, the RA is committed to supporting public events in all three villages (Byfleet, Pyrford, and West Byfleet) and aims to do so in a broadly fair and equitable manner, without favouritism or bias towards any one village. Events supported may include (but are not limited to), village shows, Christmas fairs, and any other open (i.e. non-ticketed) community activity.
Support for Community Events
Our support may take the form of any either or both of a financial contribution (in line with our donations policy), and/or inclusion in any of the issues of The Resident throughout the year. To ensure that there is a degree of equality of treatment across all three villages, we will work within the following guidelines:
- Financial Contribution: this should be requested by the relevant Village Representative and agreed at one of the monthly RA meetings. An assessment will be made upon each submission of the overall balance of community support being given to each village over (say) a rolling 4-year period, and any new request should not massively distort this balance.
- Advertising in The Resident: each village will be entitled to up to a half-page of free advertising/advertorial in each of the three issues each year. Any requirement beyond that would be charged at a 30% discount on the standard advertising costs. (Note: post-event articles in The Resident would not be considered as advertorials and therefore would just be treated as standard magazine content.)
Involvement in Community Events
The RA may also choose to participate in the event to promote the purpose and benefit of membership. Such participation could take the form of either or both of, and will be determined by the RA Events Co-ordinator working with the Comms Team:
- Active Participation: through (say) buying a stall/pitch at the event to promote the RA and its activities. As this is fundamentally for the benefit of the RA itself, the costs of such participation would not be considered as part of any overall financial support given to the event, but would still be presented by the Events Co-ordinator for discussion and agreement at a monthly RA meeting.
- Advertising the RA in event programmes: any proposal to advertise in event programmes should also come from the assigned Event Co-ordinator (as it’s part of the planning for the event), and should be done in conjunction with the Comms Team. A request to pay for such advertising would also need to be agreed at a monthly RA meeting.
